The University of Adelaide needed a memorable, emotionally resonant photo experience to mark a once-in-a-lifetime milestone: the final All-Staff Farewell event before the institution ceased to exist in its current form.

The activation needed to give staff a keepsake moment that honoured the university's history ("Farewell UofA 1874 - 2025") while feeling premium and on-brand.

As an existing SNAP LAB client across multiple graduation and campus events, UofA returned to us as the trusted supplier for this final chapter.

Project considerations

A dual-format experience of 4 GifBooth stations and a 360 Booth, fully branded to the All-Staff Farewell theme. The setup was wrapped in custom University of Adelaide branding - the UofA shield, "Make History" and "Staff Farewell" and a custom 360 animation overlay reading "Farewell UofA 1874 - 2025" set to a matched music track. The GifBooths served as the physical memento of the day, giving staff a photo, GIF or video they could share and keep.

Creative Concept & Branding

The University of Adelaide All-Staff Farewell marked the end of 151 years of history, making this far more than a typical corporate event. The creative direction was developed to reflect the significance of the occasion, with every branded element acknowledging the University's transition.

"Farewell UofA 1874-2025" became the hero message within the 360 experience, while "Staff Farewell" featured across the GifBooth media walls. The University's long-standing "Make History" campaign was also incorporated into the booth branding, marking one of the final public uses of a slogan that had become synonymous with the institution before its transition into Adelaide University.

Phase 2:

Activation Layout & Guest Experience

The activation was designed to maximise visibility across the event precinct while maintaining a natural guest journey. 4 GifBooths were positioned in pairs throughout Barr Smith Lawns and Union House, ensuring attendees would encounter a photo opportunity regardless of where they entered the event.

The 360 Booth was positioned within the Cloisters to create a destination experience deeper into the venue. Although our AI Digital Backdrop technology removed the need for physical backdrops, we recommended incorporating branded media walls to reinforce the University's identity throughout the site and create large-scale visual branding for both guests and photography.

Rapid Production & Brand Implementation

With branding approved less than one week before the event, production moved into an accelerated schedule. Working closely with our long-term manufacturing partners, we coordinated the printing, production and installation of branding across 4 GifBooths, one 360 Booth and 4 media walls within a matter of days.

The University of Adelaide crest was applied across every activation, creating a consistent visual identity while marking one of the final events to feature the University's historic branding before the transition to Adelaide University.

Contingency Planning & Live Delivery

With weather forecasts changing throughout the week, contingency planning became a key part of the project. Two complete site layouts were prepared to accommodate both ideal and wet weather conditions, allowing the activation to be reconfigured if required.

SNAP LAB AirPower was deployed to enable rapid relocation without relying on fixed power infrastructure, while a Starlink system was prepared to provide a reliable backup internet connection should network congestion become an issue.

When challenging weather conditions affected the event, the on-site crew adapted the activation in real time, ensuring all 4 GifBooths and the 360 experience continued operating successfully throughout the farewell.
